Keep the finding and remedy separate

Copy the item number and observation, then add a separate space for the proposed repair after assessment. Attach a close photo and wider location view. Do not translate an uncertain finding into a guaranteed diagnosis. Keep any request for specialist assessment visible when the list is priced.

Group related work

Place door adjustments, trim repairs, drywall patches, and floor transitions into room or trade groups. Identify access that could serve multiple tasks. A coordinated package can be easier to scope than unrelated requests, but job fit still needs confirmation. Provide the complete list before requesting an appointment.

Separate deadlines from expectations

If repairs relate to a sale or move, share the date and exact agreed work description. Ask whether access, materials, specialty trades, or permit review could affect it. An estimate does not certify every inspection finding or guarantee another party will accept the result. Keep that acceptance discussion separate from pricing.

Define closeout evidence

Agree on photos, receipts, operation checks, and permit or inspection records appropriate to the work. List who authorizes changes when a concealed problem appears. Ask for exclusions and any minimum job or visit charge before scheduling. Planned repair intake is not an emergency response; contact the appropriate emergency or utility service for an urgent hazard.
